Follow one enquiry through the business.

A customer asks, “Has my replacement been dispatched?” A helpful answer requires more than fluent wording. The service team needs the customer’s account, the replacement request, the order record and the policy that applies.

In this illustrative example, the business first agrees which records the system may read and which actions it may take. An agent interprets the request and retrieves the relevant context. A fixed rule checks whether the replacement is recorded as dispatched. The system then prepares a response grounded in that record.

If the permitted operation includes updating the service ticket, the agent records the status and verifies that the update succeeded. If the records disagree, it passes the request, sources and attempted actions to a colleague. The enquiry now has a useful next step, rather than another disconnected chat message.

Give each part of the system a clear job.

Generative AI can interpret a request and prepare language or structured information. An agent can choose and use defined tools. Xerovi engineers the custom tools and integrations around the task, such as a permitted record lookup or update. Conventional automation moves through a fixed sequence. People set the policy, own the process and decide the cases that need judgement.

The distinction matters when choosing the system. A predictable transfer between two applications may need a reliable integration. A request that requires interpretation and several relevant lookups may benefit from an agent. Adding more agents does not by itself improve the business outcome.

Define what a completed task looks like.

A tool returning successfully is only one technical event. The business outcome might require a ticket to contain the correct status, a response to refer to the right order and an exception to reach its owner.

Set acceptance criteria around that outcome. Can the system complete representative enquiries? Is the answer grounded in the source? Can staff understand the handoff? How much review does the process require? What happens when a source is unavailable or a record is inconsistent?

Evaluation should cover routine tasks and the difficult cases. A controlled pilot gives the team a chance to compare the prepared output with the work they actually need, then improve the sources, rules and operating instructions before a broader rollout.

Start with the enquiry your team knows best.

Choose a recurring request with a clear owner and an observable finish. Map the information people gather, the systems they update and the decisions they make. That map reveals whether the first improvement is source preparation, a conventional integration, an assistant or a connected agent.

  • Identify the approved source for each important fact.
  • Define useful tool operations and verify their final state.
  • Keep uncertain work visible and routed to an owner.
  • Prepare role-specific instructions and a feedback route.
  • Review quality, task completion, review effort and operating cost in daily use.

The goal is practical capacity: less repeated context gathering and a clearer next step for the team. The effect should be evaluated in the actual process, with a comparable workload and measurement period.
